Development of a Digital Toolkit: Kit Recycling Campaign for the Sports Sector in West Wales

1. Introduction  

The West Wales Sports Partnership (WWSP) is launching an ambitious initiative to redefine sports kit and equipment recycling across the region. Grant funded by Admiral in collaboration with the Welsh Sports Association (WSA), with support from strategic partners, we are working collaboratively with National Governing Bodies of Sport (NGBs), grassroots sports clubs, professional sports clubs, leisure providers, and community groups to encourage and enhance circular economy principles in sport. 

The goal is to develop a digital toolkit that can be adopted by partners across the sector to drive a behaviour change campaign focused on the reuse and recycling of sports kit and equipment. This toolkit will promote and celebrate the environmental and ethical benefits of kit and equipment recycling, and support wider cultural adoption. 

2. Background 

The West Wales Sports Partnership (WWSP) is a collaborative organisation dedicated to transforming the physical activity landscape across Carmarthenshire, Swansea, Neath Port Talbot, and Pembrokeshire. By working across sectors, WWSP aims to create a more active and healthier region through insight-driven action, system-wide collaboration, and strategic investment. 

3. Project Objectives 

  • Raise awareness of the benefits of sports kit and equipment reuse 
  • Encourage positive environmental behaviours across the sports sector 
  • Reduce stigma associated with second-hand kit and equipment 
  • Support system-wide collaboration and consistency in messaging 
  • Empower partners to run localised campaigns using provided materials and signposted digital platforms.   

4. Scope of Work 

We invite quotes from experienced designers and campaign developers to create a comprehensive, branded digital toolkit to include the following deliverables: 

A. Campaign Messaging & Design 

Develop a strong, consistent, and engaging messaging narrative aligned with our emerging  organisational ethos and project aims  (that encourages kit and equipment donation and reuse in sport for sustainability)  

Create key message templates suitable for use by various administrators across a network of stakeholders (clubs, players, parents, coaches and governing bodies). 

Emphasise the environmental impact (e.g. CO2 savings, landfill diversion) and ethical/social impact (e.g. affordability, inclusion, community stories). 

B. Behaviour Change-Focused Communications Toolkit 

A suite of editable and ready-to-use assets: 

  • Social media graphics and copy (Instagram, Facebook, Whatsapp X, LinkedIn etc.) 
  • Poster and flyer templates 
  • Club newsletter inserts 
  • Infographics highlighting benefits of reuse 
  • Short form video scripts/storyboard templates for partner use 
  • A “pledge” asset – visual template and messaging for clubs to commit publicly to kit recycling 
  • “Success celebration” templates – to help sport clubs/NGBs share case studies, stories and milestones 

C. Educational Assets 

Digital factsheets, and printable posters outlining: 

  • The environmental and ethical case for kit recycling 
  • Testimonials or stories from individuals and clubs 

D. Loopeto Platform User Guide Content 

Through dialogue with product owner, write and design content for an accessible “How To Use Loopeto” guide (for individual use and for the setup of club shops): 

  • Step-by-step instructions for donating and receiving kit 
  • Guidance on setting up and managing a Club Shop on Loopeto 
  • Tips on promoting club-level reuse campaigns 

5. Budget 

A budget range of £5,000 – £8,000 inclusive of VAT is available for this project
